2. Booking and confirmation
A booking may contain one or more tickets. Each ticket is registered to a named attendee.
Card payment
When paying by card, your booking becomes binding when payment has been successfully completed and we have confirmed your booking.
During the payment process, tickets may be temporarily reserved for approximately 30 minutes. If payment is not completed within that period, the reservation may be released.
Invoice
Invoice payment is available to approved companies and organisations.
When you choose invoice payment, your order becomes binding when we accept the order and issue the invoice or otherwise confirm the booking.
Tickets may be reserved pending payment and are issued according to the information provided with the booking.
Unless otherwise stated on the invoice, payment is due within 30 days and must in all cases be received before the conference starts.
Confirmation
After booking, you will receive a confirmation by email with access to your booking and tickets.
Please check your confirmation and contact us as soon as possible if anything is incorrect.
Sessions and workshops
Some tickets allow attendees to select workshops, talks or other sessions.
Sessions may have limited capacity and are normally allocated on a first-come, first-served basis.
An attendee may only select one session within the same time slot.
Add-ons and conference sessions may only be booked together with a valid conference ticket where this is stated during booking.
3. Prices and payment
Prices, applicable VAT and the total amount payable are clearly displayed before you complete your purchase.
For consumers, prices are presented in accordance with applicable consumer price-information requirements, including VAT where required by law.
For business customers, prices may also be displayed excluding VAT where this is clearly stated.
The final amount, including applicable VAT and any other charges, is shown before the booking is confirmed.
Card payments
Card payments are processed securely by Stripe.
We do not receive or store your full card details.
Invoice payments
Invoice payment is available to companies and organisations where offered during checkout.
Unless otherwise stated, the payment term is 30 days.
Payment must always be received before the conference begins.
If an invoice is not paid when due, we may cancel the booking and release the tickets after giving the customer reasonable notice and an opportunity to make payment.
Discount codes
Discount codes:
- are subject to the conditions stated when issued,
- cannot normally be combined,
- have no cash value, and
- cannot be applied retrospectively after a booking has been completed unless we agree otherwise.
4. Tickets and entry
Each attendee receives a personal ticket containing a QR code.
The ticket can be presented digitally or, where applicable, in printed form.
A ticket is valid only for the conference days, sessions and other activities stated on the ticket.
A multi-day ticket may be used once for admission on each included conference day.
QR codes
The QR code is used to verify admission.
Do not share your QR code with others. A QR code may only be used once for each applicable admission.
If a ticket is transferred to another attendee, the previous ticket and QR code become invalid.
Discounted tickets
We may request appropriate proof that an attendee qualifies for a discounted ticket, such as a valid student ID.
If the attendee cannot demonstrate eligibility, we may require payment of the difference between the discounted ticket and the applicable standard ticket before admission.
5. Name changes, transfers and sessions
We want tickets to be usable even when plans change.
You may therefore transfer your ticket to another person free of charge until the change deadline stated for the conference.
Before that deadline, attendee details and session selections can normally be changed directly through your booking page.
After the deadline, contact us at testcoast@testscouts.se and we will try to assist you.
When a ticket is transferred, any sessions associated with that ticket will normally transfer to the new attendee.
You may change between available sessions of the same price and add or remove included sessions where capacity is available.
Changes involving paid sessions or add-ons may need to be handled by us.
Session availability cannot be guaranteed.
6. If you cannot attend
Tickets are normally non-refundable if you are unable to attend, regardless of the reason.
Instead, you may transfer your ticket to another person free of charge in accordance with section 5.
Failure to attend does not remove the obligation to pay for a confirmed booking.
Right of withdrawal
For consumers, Swedish law normally provides a 14-day right of withdrawal for many distance purchases.
However, the Swedish Distance and Off-Premises Contracts Act (2005:59), Chapter 2, Section 11, contains exceptions for certain services relating to events and leisure activities that are to be provided on a specific date or during a specific period.
To the extent that your Test Coast booking falls within this statutory exception, there is no statutory 14-day right of withdrawal.
This does not affect any rights you may have under mandatory consumer law.
7. Programme changes
A conference programme involves many speakers, workshops and other activities, and changes may sometimes be necessary.
We may therefore make reasonable changes to:
- speakers,
- session times,
- rooms,
- workshops,
- programme order, and
- other individual programme elements.
A change to an individual speaker, presentation, workshop, room or timetable does not normally entitle you to cancel the entire conference ticket or receive a refund.
Where possible, we will try to replace cancelled programme content with content of a similar nature or value.
Cancelled paid sessions
If a separately paid workshop, session or add-on is cancelled and we cannot offer a reasonable alternative, we will refund the amount paid for that specific item.
8. If we cancel or significantly change the conference
Cancellation
If we cancel the entire conference and do not provide an alternative that you accept, we will refund the amount paid to us for your conference ticket.
Change of date
If the conference is moved to a substantially different date, your ticket will remain valid for the new date.
If you cannot attend the new date, you may request a refund by contacting us within 14 days after we announce the change, unless mandatory law gives you additional rights.
Change to an online event
If an in-person conference is changed to an online-only event, your ticket will remain valid for the online event.
If the change materially alters what you purchased and you do not wish to attend in the new format, you may request a refund within 14 days after we announce the change, subject to applicable mandatory law.
9. Events beyond our reasonable control
Sometimes circumstances outside our reasonable control may affect the conference.
Examples include:
- war or serious civil unrest,
- government restrictions,
- serious public-health emergencies,
- natural disasters,
- major disruption to essential infrastructure,
- fire or serious damage to the venue, or
- other comparable circumstances that could not reasonably have been prevented or overcome by us.
In such circumstances, we may need to postpone, relocate, change the format of or cancel the conference.
We will inform attendees as soon as reasonably possible and will try to provide an appropriate solution, such as:
- a new conference date,
- another suitable venue,
- an alternative format, or
- a refund where appropriate.
Nothing in this section limits any rights you have under mandatory Swedish or EU consumer law.
10. Travel and accommodation
Unless expressly included in your booking, travel, accommodation and other personal expenses are not part of the conference ticket.
We are therefore normally not responsible for costs relating to:
- flights,
- trains,
- taxis,
- hotels,
- other accommodation,
- visas, or
- other personal arrangements.
We recommend booking flexible or refundable travel and accommodation where possible.
This limitation does not apply where compensation is required under mandatory law.
11. Conduct at the conference
We want Test Coast to be a welcoming, professional and safe conference.
Attendees must:
- treat other attendees, speakers, sponsors, venue staff and organisers with respect,
- follow reasonable instructions from conference and venue staff,
- comply with applicable safety and venue rules, and
- refrain from harassment, discrimination, threatening behaviour or serious disruption.
We may refuse entry or remove an attendee who seriously or repeatedly breaches these requirements.
Where removal results from the attendee's own serious misconduct, the ticket will not normally be refunded.
12. Photography and filming
Photography and filming may take place during Test Coast.
Material from the conference may be used to document and communicate about Test Coast and to promote future Test Coast events.
Sessions may also be recorded.
If you do not wish to appear in identifiable conference photography or recordings, please tell our staff at registration. We may use a visible marker or another practical method to help photographers identify attendees who do not wish to be photographed.
We will take reasonable steps to respect such requests.
Separate arrangements may apply to speakers, interviews and situations where an individual is deliberately the main subject of a recording.
More information about how we process photographs, recordings and other personal data is available in our Privacy Policy.
13. Liability
We are responsible for providing the conference with reasonable care and in accordance with the booking agreement.
To the extent permitted by law, we are not responsible for indirect losses or losses that we could not reasonably have foreseen when the booking was made.
For business customers, our total contractual liability in connection with a booking is normally limited to the amount paid for that booking, except in cases of intent, gross negligence or where such a limitation is not permitted by law.
Nothing in these Terms limits or excludes liability or consumer rights where such limitation or exclusion is prohibited by mandatory Swedish or EU law.
Personal belongings
You are responsible for your personal belongings while attending the conference.
We are not responsible for lost, stolen or damaged personal belongings unless the loss or damage was caused by circumstances for which we are legally responsible.
Speakers
Opinions, statements and views expressed by individual speakers are their own and do not necessarily represent those of Test Coast or Test Scouts Sweden AB.
14. Personal data
We process personal data in connection with bookings and the operation of the conference.
Information about:
- what personal data we collect,
- why we process it,
- how long we keep it,
- who we share it with, and
- your rights under the GDPR
is available in our Privacy Policy.
15. Complaints
If there is a problem with your booking or the conference, please contact us as soon as possible: testcoast@testscouts.se
We will try to resolve the issue directly with you.
Consumers may also be entitled to have a dispute reviewed by the Swedish National Board for Consumer Disputes:
Allmänna reklamationsnämnden (ARN)
Box 174
101 23 Stockholm
Sweden
We participate in ARN proceedings and follow ARN's recommendations.
16. Applicable law and disputes
These Terms are governed by Swedish law.
For consumers, this choice of law does not deprive you of mandatory consumer protection that may apply under the law of your country of residence.
Disputes that cannot be resolved between us may be decided by a competent Swedish general court, subject to any mandatory rules concerning jurisdiction and consumer protection.
For consumers, alternative dispute resolution may also be available through ARN as described above.
